Southeastern Region of Zeta Phi Beta Sorority, Incorporated Website Privacy Policy

This Privacy Policy describes how your personal information is collected, used, and shared when you visit, interact with, or make purchases/registrations through the official website of the Southeastern Region of Zeta Phi Beta Sorority, Inc. (the "Site").

 

1. What Personal Information We Collect

When you visit the Site, we automatically collect certain information about your device, including information about your web browser, IP address, time zone, and some of the cookies that are installed on your device.

Additionally, as you browse the Site, we collect information about the individual web pages, regional updates, or event registration forms that you view, what websites or search terms referred you to the Site, and information about how you interact with the Site. We refer to this automatically collected information as Device Information.

We collect Device Information using the following technologies:

  • Cookies: Data files that are placed on your device or computer and often include an anonymous unique identifier.

  • Log Files: Track actions occurring on the Site, and collect data including your IP address, browser type, Internet service provider, referring/exit pages, and date/time stamps.

Furthermore, when you purchase regional merchandise, pay regional dues, register for the Southeastern Regional Leadership Conference (SERLC), or attempt to make a transaction through the Site, we collect certain information from you. This includes your name, billing address, shipping address, chapter affiliation, membership ID number, and payment information (including credit card processing tokens, email addresses, and phone numbers). We refer to this as Order/Registration Information.

Note: "Personal Information" in this Privacy Policy refers to both Device Information and Order/Registration Information.

 

2. How Do We Use Your Personal Information?

We use the Order/Registration Information that we collect generally to fulfill any orders or event registrations placed through the Site (including processing your payment information, arranging for regional event credentials, and providing you with invoices, tickets, and/or order confirmations).

Additionally, we use this Information to:

  • Communicate with you directly regarding regional business, state updates (Florida, Georgia, South Carolina, Bahamas, Virgin Islands, and Trinidad & Tobago), and event timelines.

  • Screen our transactions for potential risk or fraud.

  • When in line with the communication preferences you have shared with us, provide you with information, newsletters, or announcements relating to regional programs and national initiatives.

We use the Device Information that we collect to help us screen for potential risk and fraud (in particular, your IP address), and more generally to improve and optimize our Site (for example, by generating analytics about how our members browse and interact with the Site, and to assess the success of our operational updates).

 

3. Sharing Your Personal Information

We share your Personal Information with trusted third parties to help us operate efficiently and serve our membership. For example, we use secure third-party payment processors to handle conference registrations and merchandise sales securely. We also use analytics tools to help us understand how users interact with the regional portal.

Finally, we may also share your Personal Information to comply with applicable laws and regulations, to respond to a subpoena, search warrant, or other lawful requests for information we receive, or to otherwise protect our rights and the operational integrity of the Sorority.

 

4. Your Rights & Data Retention

If you are an international member or a resident of specific jurisdictions with strict privacy protections (such as the EU/UK), you have the right to access the personal information we hold about you and to ask that your personal information be corrected, updated, or deleted. If you would like to exercise this right, please contact the Regional Technology team.

When you complete a registration or order through the Site, we will maintain your Order/Registration Information for our administrative and historical records unless and until you ask us to delete this information.

 

5. Minors

The Site is intended for adult members of the Sorority, undergraduate students, and authorized participants in our youth auxiliary programs (Archonettes, Amicettes, and Pearlettes). We do not knowingly collect or maintain personal data from minors under the age of 13 without verifiable parental or legal guardian consent associated with youth auxiliary registration.

 

6. Changes & Contact Information

We may update this privacy policy from time to time in order to reflect, for example, changes to our data management practices or for other operational, legal, or regulatory reasons.
